Human Resource & Payroll Coordinator

Our client, a large commercial construction supplier located in Winnipeg, MB is searching for a full-time HR & Payroll Coordinator to join their team.  Reporting to the Director of Finance, this individual is an integral member of the HR team and is responsible for undertaking a range of Human Resources duties, with a primary focus on payroll and benefits administration. The successful candidate is a proven team player, will have a strong aptitude for detail, will be highly organized and will have the willingness & desire to take on new challenges.

Responsibilities

Human Resources
  • Participating in recruitment efforts, posting job ads and organizing applicant résumés
  • Scheduling job interviews, acting as the point of contact for candidates and assisting in the interview process
  • Post-interview and pre-hire duties including reference checking, administering job-specific tests and other hiring-related tasks as required
  • Develop training and onboarding material for new hires
  • Orienting new employees to the organization, setting up designated log-ins, workstations, and all other tasks
  • Maintaining all physical and digital personnel records in line with changes to contracts, salary reviews, pay rates, and any other relevant internal information while ensuring complete accuracy and confidentiality
  • Drafting employment agreements, employment offers, preparing new employee files and updating internal databases with personnel information
  • Manage and oversee all facets of the company’s group benefits plan, serving as a point of contact for employees
  • Providing support and guidance on HR policies and procedures to all managers and employees
  • Maintaining records related to grievances, performance reviews and disciplinary actions
  • Process termination paperwork and assisting with exit interviews
  • Monitor vacation, sick and personal day balances on an on-going basis
Payroll Administration
  • Accurately enter, process and balance bi-weekly payroll earnings and adjustments
  • Maintain payroll information ( earnings, department, leaves, new hire set up and terminations, pension, payroll and benefits ROE’s
  • Process and balance payroll expenses, deductions and adjustments
  • Assist in the reconciliation of the payroll general ledgers; bi-weekly, monthly, year-end
  • Provide a timely response from inquiries from Finance, HR, managers and employees
  • Provide support for project work and other ad hoc duties as required.
Benefits Administration
  • Coordinate and maintain the company’s group benefit plans in accordance with plan design, legislation and company policy as applicable
  • Implement plan changes
  • Co-ordinate LTD claims to ensure compliance
  • Calculate and remit group insurance payments monthly

Personal Fit

We’re looking for someone who is:

  • Experienced: You have experience in full-cycle payroll processing, and have the ability to grasp complex HR situations, acting with intellect, maturity and competence.
  • Educated: You have a post-secondary education with a focus on HR Administration.  PCP Designation (Canadian Payroll Association) is considered an asset.  General knowledge of employment law, payroll legislation and accounting principles.
  • Detail-oriented: You are analytical and detail-oriented, with a keen focus on producing accurate and high-calibre work. You are comfortable with assigned projects that include research and analysis of detailed information.
  • A strong communicator: You use strong verbal, written, interpersonal, organizational and administrative skills to consistently achieve results, and are able to adapt to different communication styles.
  • A team player: You are able to effectively partner with all levels of the business and sustain cooperative and respectful working relationships with a variety of individuals within and external to the organization. Confident and tact in dealing with personnel information and related issues.
