Logistics Planner

Our client is a growing environmental planning organization focused on impact assessments, community engagement, and territorial planning. They are actively seeking an administrative professional with a strong work ethic to join our unique team. This position provides administrative support in a dynamic work environment, and functions with a high degree of attention to detail, client service and prioritization of work in a team setting. The ideal candidate will have had previous experience working with indigenous communities and clients in a professional office setting.

Responsibilities

  • Coordinate engagement logistics

-travel research: charter and commercial flights
-book accommodations such as hotels and restaurants
-document flight schedules
-book car rentals
-keep track of rentals in Google calendar
-book venues
-update team on ongoing changes to flights and rentals
-send in receipts to payroll
-attend project meetings for logistic information
-hotel bookings
-keep track of team’s schedule

  • Network and source for venues, catering options and gifts
  • Venue booking and management

-keep track of cut off dates for room blocks
-update hotel on changes and confirm revisions
-inquire for onsite supplies: projectors, screens, flip charts, etc.
-inquire for receipts and send to payroll

  • Procurement management for engagements
  • Pack for and organize engagements
  • Order personalized swag for initiatives such as keychains, candles, mugs, etc.
  • Responsible for printing of newsletters and reports and maps for engagements
  • Available for after hours coverage as needed
  • Other administrative duties as needed

Core Skill & Experience Requirements

  • 3-5 years previous experience in a logistics, and/or administrative role
  • Experience with logistics planning in non-urban and remote settings considered an asset
  • Proficient and knowledgeable in computer software programs, specifically MS Word and Excel
  • Ability to readily adapt to new software for task management and delegation
  • Exceptional written and oral communication skills
  • Technological competence: experience working with office equipment
  • Ability to adapt to and manage a constantly changing, dynamic workflow with proficiency and calm
  • Exceptional organization skills with the ability to manage multiple tasks and deadlines with confidence
  • Ability to work independently while still being part of a team
  • Must have a drivers license
  • Must be fully vaccinated
  • Strong typing skills, 50+ WPM
  • Positive and willing attitude
