The ideal candidate will have had previous experience working in an accounting office and have a general understanding of accounting practices.

Job Responsibilities

  • Responsible for workflow and ensuring all deadlines are met on time
  • Providing administrative support to multiple partners and senior staff, which will include typing, filing, booking travel, preparation of client billings, financial statement printing and file assembly, and general administrative duties, including phone and email correspondence with both clients and their business counterparts
  • Entails daily interaction and communication with clients, assisting them with any requests they may have
  • Project management responsibilities may include research, reporting and documentation of reports, business plans and drafting of case studies
  • Maintenance of filing system, ensuring office equipment is operational, general building issues as required
  • Working with the administrative team in accounts receivable management, including running daily reports, recording payments and administering collections calls
  • Establish and co-ordinate administrative policies and procedures, critically problem solving to determine ways in which administration can allow smoother functionality of the firm as a whole
  • Prepare agendas and make arrangements for committee, board and other meetings
  • Compile and send out client invoices, memos, letters, financial statements, contracts and other confidential client documents
  • Organizing firm events, creating itineraries, arranging reservations or travel arrangements, and running errands as necessary
  • Responsible for managing general office maintenance, organization and stock of supplies
  • Act as point-of-contact for IT issues
  • Occasional reception duties, to include answering telephones, receiving visitors, sending and receiving couriers and mail distribution

Core Skill Requirements

  • 4-6 years previous experience as an Administrative Assistant or in an Administrative role
  • Previous experience in an accounting or professional services firm desired
  • Exceptional written and oral communication skills
  • Strong ability in managing multiple tasks and deadlines
  • An aggressive self-starter looking for continuous and varying challenges
  • Ability to work independently
  • Proficient and knowledgeable in computer software programs, specifically MS Office
  • Strong typing skills, 70+ WPM
  • Technological competence: experience working with office equipment
  • Positive and willing attitude
  • Previous experience in using QuickBooks or Simply Accounting an asset
